Collecting registrations, payments, giving out the discounts

Karen Zilinek, IDADESAL, USA

IDADESAL is the leading resource for information and professional development for the global desalination industry. As a non-profit organization, they plan annual events to create an environment in which they let their members share their acknowledgements with each other. They were collecting their registrations manually via e-mail which is a time-consuming process. Their decentralized structure made these processes even more challenging.

Before they met with MeetingHand, they were not familiar with online event management, and automation was a new concept for them. Their organization neither had an IT department nor an employee who knew coding. Last year, they even faced a badge crisis in Dubai because they pre-printed all of the attendees' badges in the US.

Originally, they were looking for an affordable option to solve their registration, on-badge printing, abstract collection, and peer review processes. However, due to the COVID-19 pandemic, they had to postpone their annual event, which led them to decide to hold their annual academy courses virtually.

This presented an opportunity for international members to attend their courses from the comfort of their homes with one click, which increased the expected attendee volume. However, it also meant an even more overwhelming registration process for them. To collect payments and attendee information, they needed more time and staff.

They required software that was as easy-to-use as possible to cope with this change. A colleague referred them to MeetingHand for their registration needs, and they contacted us. Thanks to MeetingHand's easy-to-use structure, they successfully created their courses.

Workshop Module

They used the Workshop Module to set their courses, including speaker information, time, and date in the description section, and opened the registration process for the attendees.

Incoming Payment Module

Discount Codes: They offered these courses for free to members and charged non-members for each course. To provide this discount, they set a discount code for a 100% discount using the Incoming Payment Module. They then sent this code to their members, granting them their privilege.

Payment Gateway: For the rest of the attendees, they needed to collect payments, so they easily set a payment gateway to collect the registration fee automatically.

Report Module

They categorized registrants as members or non-members and cross-checked their reports weekly, thanks to MeetingHand's flexible reporting module and quota status.

Along the way, they encountered some challenges where they needed assistance from MeetingHand's support line. We were always there to help them and answer their questions. Each time, they received helpful tips and responses and took short demos when necessary to keep their courses running successfully. By the end of their courses, they were pleased with MeetingHand's services.
